This was posted on another group, thought I'd share:
Just a word of caution. When I had my dog's hips xrayed last month, I put his stud book number on all the paperwork. As this is issued by the KC, I was stupid enough to believe this would be OK. And guess what? It was all referred back to the vet who rang me and agreed to change it all back to his registration number. Luckily it was done digitally so it could be altered and resubmitted. I now wait until the next 'sitting'. sigh.
Don't understand, Doppelganger. Forgive me if stupid questions - never had contact with a dog who'd won a stud book number prior to hip Xrays. Are you saying the BVA sent the form back to your Vet ? and wanted to exchange for which
Registration Number, the KC ? The way you phrased it, could read the VET has some kind of number.
Did you include a tattoo / microchip number ? My experience, the KC/BVA can handle those as ID.
If you mean the KC ought to recognise its own stud book numbers and add the matching Registration no., I'd
agree - but the BVA hip assessors and the KC Registration Dept are two entities, and maybe (as with many
organisations) expecting them to do joined up thinking is a bit hopeful ! Best to only use the numbers the form asks for, in the right boxes ?
A flaw in the system with our KC, a registration number should be for life, a change of number can affect many aspects of the dogs paperwork especially if you are using score books and qualifications which may be gained in the future, such as IPO 1/2/3 gained at different times, once you have logged your number this should stay with the dog, the first post on this thread is an example of how it can all go wrong.
If it is acceptable on the KC/BVA form to put the Registration No OR the Stud Book number on the same line / in the same 'box', they should be fully used to dealing with this ? (Sorry can't remember the form very clearly, its a long time since I filled one in). I can't believe the Hip Scheme does not see hundreds of dogs where they have a stud book number that has replaced the original registration number to all intents and purposes. I agree this is a flaw in the system - had vaguely thought that, when I first heard that Stud Book numbers replace registration numbers, but it has not affected me since, so hadn't thought more about it.
Do I assume, for e.g., that exhibitors write in the Stud Book number on Show Entry forms once a dog has one ?
Does anyone fill in all the working qualifications (so far) on the BVA hip form, for their dog ? Why would you ?
(I can see there might be other forms etc where you would do that and it MIGHT cause the same difficulty, if the recipient wasn't clued up ...)
The referemce made about numbers is as follows, when you use a number applicable to fill in any forms connected to your dog and for this number to change at a later date is wrong. A dogs number used on any of their lifetime credentials should never be changed , not just for health, but also for work books. I can inform you that the cross checking of inormation given to the BVA, reference in this case registration numbers is taking place to ensure no mistakes are made.
Not disagreeing with you, Member ! Now I really thought about it, it does seem daft to change the number that defines the dog 1/2 way through its lifetime - perhaps the KC needs to think about some form of linked numbering that would connect registration and stud book in one. Cannot think why nobody has queried this with the KC, goes of course across all breeds. Or maybe it has been raised, but the KC has applied its usual "never adopt outside suggestions, and never explain"
policy ?
Maybe we should take this question to the dog press. Or the CA.
Re the BVA cross-checking : well, that's nice to know, and you sound very sure ... but apparently it went 'wrong' at least once, causing delay and confusion, hence the original post here.
The BVA will score an imported dog with it's foreign registration number, which obviously changes when the dog is registered with the UK KC, so there must be some sort of link up.

Don't shoot the messenger! I only passed the information on. The dog in question was I believe a Samoyed. It is easily possible for a dog to get a Stud Book Number before its hips are scored. A six month old puppy can get a CC or RCC (or even a Junior Warrant at a push). When doing online entries for shows the printers accept the Stud Book Number if you have one in place of the Registration Number.
The point of posting was to alert you to the fact that if you do put the Stud Book Number on the form it could delay getting the results.
We are duly alerted, and i for one will pass the warning on as a possibility to others. Thank u; but according to 'Member', surely that should not be happening ? As I and Margaret have mentioned, the BVA don't seem to make a habit of sending back the paperwork for other reasons - e.g. foreign registration; tattoo number in lieu of KC Registration number. They can make the links.
So maybe the Sami owner did something else too ??
[ And, yes of course a young dog can win its way into the studbook before it has its hips done - I just have never been so
fortunate as to have a dog in that position !]
